A modern sole proprietor operates in a fully digital environment: banking, payments, contracts, invoices — everything is already online. Yet the tax side often remains the most vulnerable area, where even experienced entrepreneurs regularly make critical mistakes.

According to estimates by the State Tax Service of Ukraine, businesses spend an average of around 74.4 working days per year solely on fulfilling tax obligations. That is roughly one-third of a working year that is not invested in product development or clients, but instead dissolves into administrative processes.

Together with TAXER, a member of Kharkiv IT Cluster, we’ll review the most common cases entrepreneurs face and how automated sole proprietorship management solves them.

Who is TAXER?

TAXER is an automated sole proprietorship management service from the Kharkiv IT Cluster community that replaces manual interaction with the tax office and removes the need for a traditional accountant for everyday tasks.

“We position ourselves as automated sole proprietorship management without an accountant — where all taxes, reports, and documents are consolidated into one system and do not require manual control from the entrepreneur,” the TAXER team shared.

The key idea is not to hand over access to third parties and not to depend on the human factor. The entrepreneur remains the owner of their qualified electronic signature (QES) and data, while the system helps correctly prepare, calculate, and submit reports to the tax authorities on time.

6 mistakes and how services solve them

1. Confusion with QES (Qualified Electronic Signature)

One of the most common issues is using an outdated or deactivated QES key. An entrepreneur may have several signatures and accidentally sign documents with the wrong one, causing reports to be rejected.

At TAXER, this is solved more simply: the system immediately checks the signature and warns the user if it is invalid, so the report does not disappear into nowhere.

2. Incomplete or incorrect income declaration

When some transactions are not recorded, operations from different sources are not consolidated into a single picture, or the entrepreneur makes a mistake in the income amount, it leads to underreported or overstated income, risks of penalties, and incorrect tax calculations.

TAXER explained that they offer clients income ledger management directly within the service. If you add all transactions on time or synchronize them with your bank, the system will automatically pull the correct amount into the declaration.

3. Errors in the SSC report (benefits and “zeros”)

Retired sole proprietors, officially employed individuals, or those using wartime benefits are entitled not to pay the Single Social Contribution (SSC). However, in reports they often forget to indicate “0”, causing the tax office to automatically accrue debt.

When generating annual reports, automated services make it easy to select the correct status (not an SSC payer) and properly fill in the table so debt does not arise “out of nowhere.”

4. Missed declaration at the start of business activity

After registering a sole proprietorship, entrepreneurs usually do not become single-tax payers from day one (for the first few days or the first month they remain under the general taxation system). Many forget that for this short period they must submit a declaration of property status and income.

TAXER, in turn, reminds users about the need to submit this “transitional” reporting and helps generate the declaration, even if it is zero, to avoid penalties right at the start of business activity.

5. Paying taxes using incorrect details

One of the most dangerous mistakes is outdated banking templates or payments sent to the wrong tax office (especially after changing the business registration address).

A separate class of issues arises because of automatic templates in banking apps. They often contain outdated details, fail to account for tax office changes, and create errors during foreign currency operations.

In digital services for sole proprietors, this process has already been automated: payment details are pulled from the taxpayer’s up-to-date data, and the payment is generated using the verified IBAN of the relevant tax office.

6. Missed deadlines

A simple but costly mistake is late submission of reports or delayed tax payments, which result in penalties, fines, and unnecessary financial losses for sole proprietors.

For example, to avoid this, TAXER created a personal tax calendar and notification system in Telegram, Viber, and via email. The service reminds users in advance about reporting deadlines and tax payment due dates.

Why are businesses increasingly moving away from traditional accounting?

There are three factors becoming decisive:

Speed

All actions are available instantly, 24/7, without waiting for responses from a person.

Control

The QES and access credentials remain with the business owner, without being transferred to third parties.

Cost

Accounting support costs for one entrepreneur can start from UAH 10,000 per year, while digital services significantly reduce this entry threshold.

An ecosystem for everyday operations

Most sole proprietor mistakes are not complex: they stem from the human factor, fragmented tools, and the lack of unified control. According to TAXER, switching to automated sole proprietorship management effectively minimizes up to 90% of common risks — from incorrect payment details to missed declarations.

Being a sole proprietor today is about building the right digital system that takes care of these nuances for you.
